Session recordings for revision playback.

To process transactions, we collect payment details via a secure third-party processor. MyVirtualTAs does not store full payment card details.

Student Session Recording


MyVirtualTAs does not record or store student video sessions directly. However, Lessonspace, the platform used for tutoring sessions, may record sessions for a limited duration depending on the session type and settings. These recordings are stored and managed by Lessonspace for a certain duration, not MyVirtualTAs.

The purpose of these recordings may include:
  1. Reviewing sessions for educational quality.
  2. Providing playback for students.
  3. Compliance with platform policies.
 
 

Data Collection & Use of Student Information



We collect and use personal information only as necessary to provide educational services. The data collected from children may include:

1. Personally Identifiable Information (PII) (If Provided by Schools)

a. Name (First and/or Last Name, if required for learning sessions)

b. Username/Login Credentials (for accessing MyVirtualTAs)

c. Email Address (if provided for account setup)

2. Automatically Collected Information

a. IP Address (for security and fraud prevention)

b. Device & Browser Information (to optimize platform performance)

c. Usage Data (session duration, pages visited, interactions with lessons/tutors)

3. Communications & Content Shared by Children

a. Text Messages/Queries & Whiteboard Interactions (within the learning environment)

b. Video & Audio Streams (if participating in live tutoring)

c. MyVirtualTAs does not use children’s information for advertising or marketing purposes.
 
 
 

FERPA and COPPA complaint


MyVirtualTAs values the privacy and security of all learners and is committed to compliance with the Family Educational Rights and Privacy Act (FERPA) and the Children’s Online Privacy Protection Act (COPPA).

 
 
  • FERPA: To the extent that MyVirtualTAs handles or has access to student education records on behalf of an educational institution, such data is treated as confidential and is only used for educational purposes authorized by the institution or the parent/guardian. We do not disclose or share personally identifiable information from education records with third parties except as permitted by FERPA, such as to school officials with legitimate educational interests or as otherwise required by law. Educational institutions remain the custodians of student records, and MyVirtualTAs acts as a "school official” under FERPA, subject to its limitations and obligations.
 

  • COPPA: MyVirtualTAs does not knowingly collect personal information from children under the age of 13 without obtaining verifiable parental consent. Where our services are used by minors, we rely on the educational institution or parent/guardian to provide such consent as required by COPPA. We limit the collection and use of information from children to what is reasonably necessary to provide the learning service, and we do not use children’s personal information for marketing or advertising purposes.
 
 


What Student Information is Visible to Others?


  • Tutors & Teachers – May see the child’s name, learning progress, and session history.

  • Administrators – May access session logs, messages, and performance data.

  • Other Students – Students cannot see each other’s personal information.
 
 


Communication Between Students & Others on the Platform


Students may interact with:
 
1. Tutors & Teachers – Through live video, chat, messages/inbox, or whiteboard sessions.
 
2. Administrators – Through portal or scheduled check-ins.
 
3. Other Students – Only in group learning sessions (with school approval).

All interactions are moderated and logged for safety.
 
 

 

School/Parent Consent for MyVirtualTAs
 


A school provides consent to MyVirtualTAs on behalf of student parents under specific conditions. The consent may cover the following aspects:
 
1. Authorization for Student Participation

Permission for students to use MyVirtualTAs for online tutoring as part of their educational support services.
 
2. Data Sharing Agreement

The school may share limited student information (such as name, grade level, and school email) with MyVirtualTAs for account setup and educational purposes.
 
3. Acceptance of Third-Party Services

Acknowledgment that MyVirtualTAs integrates with third-party services (Lessonspace, VDOcipher, Tawk.to, Firebase) and consent to their use for delivering tutoring services.
 
4. Privacy & Security Assurance

MyVirtualTAs adheres to data privacy and security standards, protecting student information.
 
5. Recording & Monitoring Approval

Consent for monitoring or recording tutoring sessions for quality assurance and student safety.
 
6. Compliance with Regulations

Ensuring use aligns with educational policies; the school may notify parents or obtain additional consent as required.
 

 
 
Data Retention & Deletion of Children’s Data
 

a. Personal data is retained only as long as necessary to provide services.
 
b. Deleted data after account termination or upon verified authorized requests will be anonymized as per our tech stack.
 
c. Automatically collected data (e.g., logs, PII) is anonymized after a set period.
 
 


Data Breach Statement


If MyVirtualTAs becomes aware of a systems security breach by an unauthorized party or that any user data was used for an unauthorized purpose, we will comply with relevant state and other data breach laws. We will notify users of any breach resulting in unauthorized release of data electronically, at minimum, and without unreasonable delay so that you can take appropriate steps. The notification will include: date of the breach, the types of information that were subject to the breach, general description of what occurred, and steps MyVirtualTAs is taking to address the breach.
 

 

School Rights over Student Data


In compliance with the Children’s Online Privacy Protection Act (COPPA) and the Family Educational Rights and Privacy Act (FERPA), schools that provide consent on behalf of parents have specific rights regarding the collection, use, and management of student data within MyVirtualTAs. To further support and uphold these protections, MyVirtualTAs participates in an FTC-approved Safe Harbor program, demonstrating our commitment to maintaining the highest standards of data privacy and security for children and students.

1. Right to Review, Delete, or Restrict Student Data Collection
A school has the right to
 
a. Review the personal information collected about students.
 
b. Request deletion of student data stored by MyVirtualTAs.
 
c. Refuse further collection or use of a student’s information.

Implications of Refusing or Deleting Student Data

If a school requests data deletion or refuses further collection, the following may occur:
 
1. The student may not be able to access MyVirtualTAs services, as some data is essential for account management, progress tracking, and learning activities.
 
2. Educational records, session history, and learning progress may be permanently lost.
 
3. Certain features (e.g., tutoring feedback, saved resources) may no longer be accessible.

Schools must be notified in advance of material changes to privacy policies, including practices around new or additional data collection, or practices that may lessen the previously noted protections around student data privacy, separate from any notice in a "click wrap” agreement.

While MyVirtualTAs respects privacy rights, some information is necessary to maintain a functional learning experience. Schools should carefully consider the impact before requesting data deletion.

2. Right to Inspect, Review, and Amend Student Data

MyVirtualTAs allows authorized schools to: 
 
a. Inspect & review student data collected within the platform.
 
b. Request corrections or updates to student information if inaccuracies are found.
 

 

Onboarding of Students


Students can have their own MyVirtualTAs accounts to access feedback from teachers and perform various tasks. To create a student account, one of the following methods must be used:
 
 
a. Student Self-Registration – Schools or teachers can issue a unique registration code to students, allowing them to create their own accounts using a username and password. Parental consent is required during the registration process. After registration, MyVirtualTAs will initiate a background verification with the school specified by the student at sign-up and will grant access accordingly based on the verification outcome.
 
b. School-Provided User List – The school can submit a list of student users to the MyVirtualTAs team. The team will handle backend registration for each user. Once accounts are created, students will be notified and prompted to update their profiles, such as updating their password, selecting an avatar, and completing other required profile details.
 

 
How We Use Your Information

 
We use the information collected from you to provide and improve our services, personalize user experiences, and ensure a safe and efficient tutoring platform. Specifically, we use your information for the following purposes: 

1. Providing and Enhancing Our Services
 
a. Facilitating lesson scheduling and platform access in alignment with school or teacher guidelines.
 
b. Personalizing your learning experience by recommending your preferred 24×7 time slots and relevant content.

2. Communication and Notifications
 
a. Sending account-related updates, including confirmations, reminders, and security notifications.
 
b. Providing platform updates, new features, and service announcements.
 
c. Conducting surveys and gathering feedback to improve platform quality.

3. Data Analysis and Platform Improvement
 
a. Conducting research and analysis to enhance user experience.
 
b. Tracking user engagement and platform performance through analytics.

c. In Business Transfers
